How to submit your abstract

Abstract preparation

Your abstract must be written in English and contain a maximum of 450 words.

Include the following sections:

  • Objectives/Scope (25–75 words) – Clearly define the goal of your research.
  • Methods, Procedures, Process (75–100 words) – Outline your approach and methodology.
  • Results, Observations, Conclusions (100–200 words) – Present key findings and outcomes.
  • Novel/Additive Information (25–75 words) – Highlight how your work contributes new knowledge or advancements in the energy industry.

Guidelines

  • Your abstract should present technical content that is relevant to the energy industry.
  • Avoid commercialism—abstracts should focus on research, innovation, and case studies, not product promotion.
  • The paper must be original and should not have been published in trade or technical journals before submission.

Abstract submission

  • Ensure you have obtained management clearance before submission.
  • Submit your abstract via the official ADIPEC website before the 16 May 2025 deadline.
  • Each author may submit up to three abstracts per conference. Additional submissions require prior approval.

Post-submission requirements

  • Accepted abstracts may be presented in either a technical session or ePoster format.
  • Authors of accepted abstracts must submit a 3,000–7,000-word manuscript for inclusion in the conference proceedings.
  • ADIPEC follows a “No Paper, No Podium” policy—authors who do not submit their manuscript by 28 August 2025 will not be allowed to present.

Frequently asked questions

Is there a fee for submitting?

No, there is no fee for submitting an abstract. The submission process is completely free. Should your abstract be accepted into the programme, the author will receive a discounted rate to register for the Technical Conference.

Can I submit multiple abstracts?

Yes, each author may submit a maximum of three paper proposals. Each submission must be unique and tailored to the conference focus. Please do not submit the same abstract under multiple categories, and make sure each abstract follows the recommended length (around 450 words) and structure outlined in the guidelines.

What makes a strong technical paper?

A strong technical paper is built on clear objectives, solid methodology, and meaningful results or observations. In line with the guidelines, it should:

  1. Address Industry-Relevant Topics
    Tackle key challenges, trends, or advancements in the upstream sector.

  2. Demonstrate Originality and Innovation
    Present new knowledge, insights, or solutions rather than reiterating well-known practices. Emphasise novel or additive information.

  3. Exhibit Technical Rigor
    Use robust methodologies, experiments, or data analysis. Include specific, quantifiable results such as simulations, modelling techniques, or field-tested applications.

  4. Highlight Practical Applications
    Showcase real-world case studies or project reviews with measurable impacts on performance, cost-efficiency, or sustainability.

  5. Incorporate Cross-Disciplinary Approaches
    Integrate concepts from various fields to provide broader insights into industry challenges.

  6. Maintain Clarity and Readability
    Ensure your paper is well-structured, with defined objectives and logical flow. Visual aids (charts, diagrams, graphs) are encouraged to enhance comprehension and engagement.

Remember to avoid commercial or marketing content and adhere to the recommended format (Objectives, Method/Procedures, Results/Observations/Conclusions, Novel/Additive Information).

What happens after submission?

Once you submit your abstract, it will be reviewed by the conference’s Technical Programme Committee. Submissions are evaluated based on criteria such as relevance to the industry, technical depth, clarity, and alignment with the conference categories. If your abstract is accepted, you will receive instructions on preparing your final paper or presentation. Failure to comply with submission guidelines or deadlines may result in removal from the conference programme.

Do I have to submit a white paper if my abstract is selected?

Yes. If your abstract is accepted, you will be required to submit a full technical paper (or equivalent final manuscript) that meets the conference’s guidelines. This final submission must reflect the content outlined in your abstract and will be subject to any additional review or formatting requirements specified by the Technical Programme Committee.
